Health And Safety Policy
Gardeners Holloway Health and Safety Policy
This Health and Safety Policy explains how Gardeners Holloway manages safety for clients, staff, contractors and members of the public during gardening and grounds maintenance activities. Our work often involves power tools, machinery, manual handling, working at height and exposure to changing weather conditions. We are committed to planning and delivering all services in a way that minimises risk and promotes a safe, tidy and well-managed working environment.
Our Health and Safety Objectives
Gardeners Holloway aims to prevent accidents, injuries and work-related ill health by identifying hazards, assessing risks and implementing effective control measures. We ensure that all reasonable steps are taken so that gardening work is carried out safely, without unnecessary disruption to clients or neighbours. We promote a culture where safety is a shared responsibility and concerns can be raised without hesitation.
Legal Compliance and Responsibilities
Gardeners Holloway complies with relevant health and safety legislation, codes of practice and industry guidance applicable to gardening and grounds maintenance. Management is responsible for putting safe systems of work in place, providing suitable equipment and ensuring staff are trained and supervised. Every gardener and team member must take reasonable care of their own health and safety and that of others who may be affected by their work. They must follow company procedures, use equipment correctly and report any hazards, incidents or near misses to management as soon as reasonably practicable.
Risk Assessment and Safe Systems of Work
Before starting a job, hazards are considered and, where appropriate, a site-specific risk assessment is carried out. Typical hazards in gardening include uneven ground, sharp tools, powered machinery, heavy lifting, traffic movement, falling debris, dust, noise and weather conditions. Control measures may include cordoning off work areas, using appropriate personal protective equipment, restricting access during high-risk tasks and adjusting the method of work to reduce risk.
Work is planned to avoid unnecessary risks. Where work at height is required, we select suitable equipment and methods that provide stable footing and minimise the chance of falls or dropped objects. All staff are expected to review on-site conditions continuously and pause work if they believe conditions have become unsafe.
Training, Competence and Supervision
Gardeners Holloway ensures that staff carrying out gardening and grounds maintenance work are competent for the tasks they perform. Training may cover safe use of machinery, manual handling techniques, work at height awareness, safe use of chemicals, emergency arrangements and environmental protection. New staff are introduced to our procedures and are supervised until they are assessed as competent to work independently.
Where specialised tasks or equipment are involved, only trained and authorised personnel are allowed to carry out the work. Ongoing refresher training is provided when needed, and staff are encouraged to ask for guidance whenever they are unsure about the safest way to complete a task.
Tools, Machinery and Equipment Safety
All tools, machinery and equipment used by Gardeners Holloway must be suitable for the task and maintained in a safe condition. This includes lawnmowers, hedge trimmers, strimmers, blowers, chainsaws and other powered equipment, as well as hand tools. Equipment is inspected regularly, and defective or damaged items are taken out of use until they are repaired or replaced.
Guards, safety features and manufacturers instructions are followed at all times. Staff are required to switch off and isolate machinery before attempting adjustments, clearing blockages or moving equipment. Fuel and other substances are stored and handled safely to minimise fire risk and environmental impact.
Use of Personal Protective Equipment
Personal protective equipment is provided where residual risks cannot be adequately controlled by other means. Depending on the task, this may include safety boots, gloves, eye protection, hearing protection, high-visibility clothing, helmets or respiratory protection. Staff are responsible for wearing the equipment specified for a task, checking it before use and reporting any damage or defects so it can be repaired or replaced.
Manual Handling and Ergonomics
Many gardening tasks involve lifting, carrying, pushing, pulling and repetitive movements. Gardeners Holloway aims to reduce the risk of injury by planning work to avoid unnecessary heavy lifting, using mechanical aids where possible and providing training in safe manual handling techniques. Staff are encouraged to split loads, use team lifting where appropriate and take regular breaks when carrying out physically demanding or repetitive work.
Chemicals, Substances and Environmental Care
Where weed control products, fertilisers or other substances are used, they are selected, stored, transported and applied in accordance with manufacturer guidance and applicable regulations. Only trained and authorised staff may handle such products. Appropriate protective equipment is used, and measures are taken to avoid contamination of neighbouring gardens, watercourses and wildlife habitats. Waste materials, including green waste, packaging and containers, are managed responsibly and disposed of through approved channels.
Public, Client and Property Safety
Gardeners Holloway takes care to protect clients, visitors, neighbours and members of the public from harm. Work areas are kept as orderly as possible, and tools and machinery are never left unattended in a way that could present a risk. Where necessary, access is restricted, and clear verbal warnings are given before starting noisy, dusty or potentially hazardous operations.
We take reasonable care to prevent damage to property, including buildings, fences, vehicles, paving, planting and other features. If accidental damage occurs, it must be reported to management and to the client promptly so that appropriate action can be taken.
Emergency Preparedness and Incident Reporting
All staff must know what to do in the event of an accident, injury, fire or other emergency on site. This includes stopping work safely, making the area secure, contacting emergency services where necessary and informing management. First aid provisions are available, and staff are encouraged to seek medical advice if they are injured or feel unwell due to work activities.
All accidents, near misses and hazardous occurrences must be reported. Gardeners Holloway reviews such reports to identify root causes and put in place measures to prevent recurrence.
Client Cooperation and Access
Clients can help maintain a safe working environment by keeping access routes clear, securing pets, advising us of any known hazards and following safety advice given by our staff. We may postpone or adjust work if we believe that conditions on site make it unsafe to proceed. Where access is shared with neighbours or the public, we take extra care in planning how equipment and vehicles are moved and positioned.
Monitoring, Review and Continuous Improvement
Gardeners Holloway monitors health and safety performance through regular site checks, equipment inspections and review of incident reports and feedback. This policy and associated procedures are reviewed periodically and updated as necessary to reflect changes in legislation, industry practice and the nature of our gardening services. We are committed to continual improvement in health and safety and welcome comments or suggestions from staff and clients to help us maintain safe and professional standards in all our work.
